This guide will explain how the BUSINESS SUPPORT team manage and track any tenant credit that is not rent related as requested by the tenancy manager.
Note: To refund a non-rent credit, you need first to complete a manual transaction to move the credit to rent. Once this is completed, you can then begin a rent credit refund request.
- Click on Tenancies under Housing to view all the current tenancies.
- Double-click the tenancy requiring a manual transaction to issue a credit refund.
- Review current tenancy transactions and charges in the RENT & BALANCES tab.
- Identify the amount in credit by reviewing the right-hand tables on the Rent & Balances screen.
- Navigate to the Transactions tab.
- To set up a manual transaction against the tenancy, select +New Tenancy Transaction.
- Enter the following:
- Date (this should be automated to today’s date)
- Transaction Type
- Amount
- Payment Type (if known)
- Property Reference Number
- Comments
Note: the transaction chosen should be a DR adjustment. For example, ‘Cleaning DR Adjustment’.
Save & Close
Note: The manual transaction should now be displayed in the first table on the transactions screen.
Recalculate the tenancy balances
- Navigate to the Rent & Balances tab.
- Select the calculator next to the balances category where your manual transaction was allocated to.
- An option will appear to recalculate your balance. Select Recalculate.
Note: the balances displayed now include the manual transaction that was added - Repeat the above process to add the manual transaction removed against rent as a rent payment.
