How to do daily banking

This guide will show you how to do daily banking in Zavanti by importing bank statements.

  1. Click on Import Payments under Tools at the bottom of the left sidebar.   
    Note: The system generates rent automatically


  2. Navigate to the Import Payment- Multi-split tab at the top of the screen.


  3. A pop-up will appear to Import your file:
    • Upload a bank export
    • Select a Bank Account
    • Select, Generate Payments and Transfer to Bank Account
  4. The transaction columns are displayed as follows:     
    • Line no.: The transaction count
    • Date/Amount
    • Balance Displays when the figures do noy equal what was received
    • Description/Tenancy: Pulls the information on the bank statement and allows for a client look-up via the magnifying glass
    • Status: A= Active. V= Vacated.
    • Rent: Amount allocated to rent
    • Other amounts: Anything other than rent
    • Bond, Rent and Non-rent balance: Displays the tenant's current funds/balances
    • Comments to Finance: Payment plans or arrangements in place
    • Entity mismatch: If this is not green, something was missed or unallocated
      Note: The system automatically allocates to rent unless there is an arrangement or payment split in place. It will always prioritize rent.
  5. Navigate through the banking line by line, allocating payments to where they belong.
    Note: If you are unsure of where to allocate a payment or cannot find a matching tenancy, allocate the row to the suspense account. This can later be transferred to the correct place.
  6. Once complete, click Generate Payments and Transfer to Bank Account.


  7. A pop-up will appear, click OK.


  8. Another pop-up will appear, select OK to confirm you would like to move on.
    Note: If you select cancel, the banking you were trying to complete will be lost and you will have to start again.

 

How to allocate payments from the suspense account

This guidance will show you how to allocate payments from the suspense account, where you can view any transactions not allocated to a tenancy during the bank statement import.

  1. Navigate to the Suspense subheading.


  2. Double-click on the transaction line you would like to investigate or allocate.
  3. Find the tenancy you would like to allocate the funds to.


  4. In the Suspense Transaction Details table, select + New Suspense Transaction.
  5. Complete the following: Date, Transaction Type or Bond Transaction Type, Amount.
  6. Save and Close.
  7. Select Confirm.
