What are Accounts vs Contacts?
• Each Account (Business or Person) has one main person you talk to – we call them the Primary contact.
• Every account needs a primary contact, but not every person needs an account.
• An account can only have one primary contact.
• But a Contact (Person) can be the primary contact for multiple accounts.
Why do we need them?
When setting up a property in Zavanti it must have a Legal Owner and Contact, the same applies for Tradespeople.
Example:
A company (123 Investments) owns one of the properties we manage - In Zavanti we would create an 'Account' for this company and set the account type to 'Property Owner'.
Tom Thumb is the person we need to speak to in regards to this account so we would add him into Zavanti as a 'Contact' and make him the 'Primary contact' for this account.
The same scenario could be used for Tradespeople. Account would be the companies name e.g. Plumbing Ltd and the contact will be who ever you speak to in regards to Plumbing Ltd.
This might be an Administrator or the Tradesperson depending on the companies preference.

How to create a Contact:
First check if they exist in Zavanti by using the main search at the top of the screen.
Important! There should only ever be one Contact record for a person.
If they don't appear in search results then you can create them as a new Contact.
- Click on Contacts under People to view all current Contacts.
- To create a new contact, click on the + New button in the top menu bar.
- First select the Contact type then complete the Summary tab, enter as much information as you have about the contact.
Note: Some fields are mandatory, these are marked with a red asterisk. You will not be allowed to save the record without ALL the mandatory fields being entered.
- Once completed click Save & Close, this will save the contact in Zavanti and you will be able to search for them in the future.
How to create an Account:
First check if they exist in Zavanti by using the main search at the top of the screen.
If they don't appear in search results then you can create them as a new Account.
- Click on Accounts under People to view all current accounts then click + New
- Fill in Account Name, Account Type and as much other information as you can.
- Search for the contact that will be the primary contact for this account - if they don't exist in the system you can click + New Contact to create them. Then click save.
