Emergency Text Sender guide

The Emergency Text Sender is used to send employees of the Group a text message in the event of an emergency.  You can choose to send to all employees, or break it down by entity, region, or managers.  The following is a step by step guide to creating and sending an emergency text.

1. Those that have access will find the text sender under the Resources menu in The Well.

Note: If you do not have access and think you should, contact the Helpdesk.

2. Click on Emergency Texts from the menu on the left.

3. Click on Create

4. Read the instructions on creating texts and Click Start

The text reads:
"Use this only in an emergency situation.
Staff will not be able to reply
Some staff may not receive the text. Only staff with listed emergency contact number will be sent a text
If applicable, it is recommended that you send an email too.
Use simple language, short sentences.
Say who the text is from.
State what is happening, where it is happening and what you want staff to do.
Take time to proof-read the message."

 

5. Choose whether to send to specific entities, or toggle the slider to send to all Entities and click Next.

6. Choose which regions to send to, or use the top toggle to select all regions.

7. Choose whether to send to only managers, and press Next.

8. Type your message.  Choose whether to automatically add the words Do Not Reply to the end of the message.

9. You can review the Entities and Regions by clicking on them.

10. When you are satisfied with the message text, the Entities, and Regions, click Create and Review.  This does not send the message.  You will have one more opportunity to either discard or send the message at the next step.

11. From this stage you can either discard or send the message, no further changes can be made.  However, you can review individual recipients and choose to exclude individuals by clicking on Recipients.

12. Choose whether to exclude individuals.

13. Once you have reviewed the recipients, you can click on Summary to return to the message.

14. Choose to either Send the message or Discard the message.

15. A status indicator will show the message status and the number of recipients sent, failed, or excluded.

To update the results, reload the browser page.  Press F5 on the keyboard or the reload icon on the browser.

You can review individual success or failed deliveries. Click on the View Recipients button.
