How to use room finder to book a meeting room

You can easily see what meeting rooms are free and book them in Outlook. This guide will show you how to book a meeting room using Outlook Calendar. 

 

If you know what room you want to book: 

1. Go to your Outlook calendar and click 'New event' 

 

2. Select the date and time of your meeting

 

3. Click on the section that says 'Search for a room or location' this will show you some suggested locations, or you can start typing the name of the meeting room you wish to book. 

 

 

4. It will indicate if it is available or not during that time and date, if it's available click on the meeting room name to add the meeting room to the meeting. 

 

5. Send the meeting invite, you will receive an email confirming that the meeting room has accepted your invite. 

 

Not sure what room you want to book? 

1. Go to your Outlook calendar and click 'New event' 

 

2. Select the date and time of your meeting

 

3. Go to the scheduling assistant at the top of the tab

 

4. Under Rooms select 'Add a room' then select '+ Browse with Room Finder' 

 

5. Use the filters to find an available room in the right location with the features you are needing (e.g., audio, video, display) 

 

6. Send your calendar invite and you will receive a confirmation that the room has accepted your calendar invite.
