This guidance will walk you through how to set up every type of property in Zavanti. See here, for the different property types that there are in Zavanti and what the layouts look like.
- Click on Properties under Properties to view all current properties.
- Click on +New to create a new Property record.
Note: There are three property form types - Residential Form, BOS/HUD Form and Residential Property Form. These can be changed via the drop-down arrow. Ensure you are using the Residential Property Form for setting up a property.
- Complete all information on the GENERAL tab.
- Enter the property Type by clicking the magnifying glass to search.
Note: If you’re setting up a parent-child relationship property, the first property you are creating is the ‘non-tenantable’ layer which is the bricks and mortar.
- Enter the property sub-type by clicking the magnifying glass to search.
Note: You will only be given options available to the property type you have chosen. - Enter the Year built.
- Enter the Acquired Date.
- Enter the Target group.
- Enter the property Address by using the box ADDRESS LOOKUP enter the address here to populate fields.
Note: This will populate the above address fields.
- Add the Property Ownership from the drop-down menu.
- Add the Legal Owner details by using the magnifying glass to search for ‘Account’ in the system that you previously created.
Note: Add the account first, this will bring up the relevant contact details.
- Add the Owner Contact details by using the magnifying glass to search for ‘contact’ in the system that you previously created.
Note: What if the account or contact is not showing? Open a new tab and see here, how to set up a new contact and account.
- Add the Maintenance Responsibility from the drop-down.
Note: Program Owner = Entity receiving the funding e.g. LinkPeople. This is the same as the funding owner.
- Add the Funding Owner. (Entity, e.g. LinkPeople)
How to add the Procurement Specialist to the property
The Procurement Specialist is the Wise Property Services team member responsible for this property. This guide will show you how to add the user to the property record.
- Click on Properties under Properties to view all current properties.
- Select the property to add a procurement specialist to
- Click the down arrow in the top right-hand corner of the page.
- Seach for the procurement specialist using the search bar and select the user.
How to assign the tenancy team as the owner of this record
To enable LinkPeople to see the property, you must change the owner. This triggers the permissions.
- Click on Properties under Properties to view all current properties.
- Select the property you wish to assign a Tenancy management team lead to.
- Click the down arrow in the top right-hand corner of the page.
- Click X on the current user in the owner field.
- Using the magnifying glass, search 'Tenancy Team'.
How to add detailed information to a property
See here, how to add a new property record. When setting up a property record there are mandatory fields required to activate the property. This information can be found on the GENERAL tab and the MORE DETAILS tab. Below is how to complete the MORE DETAILS tab.
- Go to the MORE DETAILS tab and complete the following information:
- No. of levels (storeys)
- Floor area (sqM)
- No. of bedrooms
- No. of bathrooms (with toilet)
- No. of bathrooms (no toilet)
- No. of toilets [EN5]
- Local Council Information
- Body Corp
- Property Rules
- Accessibility Information (*Accessibility Level)
- Disability Status
- Building Information
- Garaging, parking, & fencing
- Click Save in the top banner.
How to add location details to a property
Location details is where you list all the areas of the property you are onboarding. Some locations details will automatically populate to the list, in some cases, you will need to manually add these. This guidance will show you how to check the list on the property and how to manually add more locations.
- On the MORE DETAILS tab, review the location list that has auto populated.
- To add more locations, click the three little dots. Then Add Existing Location.
- Using the magnifying glass, search for the location. Click add.
- Click Save in the top banner.
