How to send a work task to a contractor

To enable the tradesperson to know what work is to be completed you are to send them a work task. This will go to their email address.  This guidance will show you how to do that.

  1. Navigate to Work Tasks under Properties.
  2. Filter to show All Work Tasks.


  3. Use the search function to find the work task you are currently working on and double-click to open.


  4. Once the tenant has been acknowledged, on the top toolbar click on Send Work Task
    Note: This DOES NOT send the work task to the tradesperson or the owner. This ONLY generates the email and word work task attachment in preparation to send.
  5. A pop-up will appear, select OK.


  6. In the Timeline table, you will see an active email that has been generated, open to review.


  7. Check the attached work order: Open the work task attachment on the top right by double clicking.


  8. The attachment will automatically download to your computer


  9. Review the document. If you need to change anything, click enable editing.

    Note: If you have made changes to the document you will need to save this first to your computer then reupload this to the email as an attachment.

  10. First, delete the previous document in the attachments table by clicking the blue ticket circle then delete.
  11. Click ‘+ New Attachment’, locate file on your computer, press open.
    Note: You can do the same for any additional photos or documents that need to be sent to the tradesperson or owner.
  12. Ensure you double-check the 'From' and 'To' fields of the email. Change the 'From' to yourself, and the 'To' to the tradesperson using the 'X' and the magnifying glass. 
  13. When you are happy to move on, In the top toolbar at the top select Send.
  14. Navigate to the top menu and click on THIRD PARTY.
  15. Fill in the following:
    • Contractor completed email (or another update) received.
  16. Save.
