Data quality - Employee record report guide

Follow

What does the report do?

This report shows anomalies in Employee Records that may impact other systems or calculations.

The recruitment team use these tables and reports to monitor employee records & associated processes

Where does the data come from?

This is Cornerstone data, refreshed daily.

How do I correct mistakes and make changes?

  • Standard recruitment team processes are followed to correct the information.
  • If the employee needs to update/correct information themselves in cornerstone, please send the steps to do so.
  • Any other issues, then tell us at cornerstone@wisegroup.co.nz

If you're seeing people who shouldn't be there (incorrect manager, team, or cost centre data) then see How to fix people with the wrong team, cost centre, or manager. Hint: this usually needs a Variation to Employment Agreement.

Anything else - email cornerstone@wisegroup.co.nz or use the Cornerstone support request eForm.

What data is included?

Data from the employee records of employees that are currently employed.

What data is excluded?

  • People who have left.
  • People that do not meet the error criteria.
  • Non-employees.

Who gets access?

All managers (employees who have a current staff member reporting to them) should automatically get access to the report, and their reporting line.

If you need to check why someone doesn't have access then contact helpdesk@wisegroup.co.nz.

To request access request access for a non-manager or to add additional cost centres or teams raise a Data access request.

Requirement types

Exception tables are looking for set criteria to highlight that a correction needs to be made.  Tables may be added to this page as required.

As at December 2023

  • Fixed Term without an end date
    • Looks for any emp records with a Tenure of Fixed Term but does not have an end date
  • Employees with Unknown or Inactive Position IDs
    • Looks for emp records with missing or inactive positions attached.  If these are not maintained the employee may not show in other reporting and calculations
  • Weird Drivers License Numbers
    • Looks to see if the DL number meets the format of a NZ Drivers license, if it doesn’t it will show in the table.  Internationals will show here as they all have different formats
  • EmpLive Incompatible Pathways Employees
    • Various fields are fed into EmpLive each night for Pathways employees, if data is missing or incorrect this could impact the use of EmpLive for that person or their Roster
      • RosterRule Set – this dictates why group they fall into for Rostering.
        • Standard – all rostered staff, TCs, Clinicians, Support workers etc
        • Fixed – Admins, SRMs, Execs
    • Tenure – this is looking at the worktype of Part Time, Full Time, Casual etc. “Seasonal” is excluded from this as it is mapped to Casual for Emplive.
