How to process landlord rent change

This guidance explains what to do when there is a landlord rent increase on a property.

How to create a new lease detail in Zavanti

  1. Click on Properties under Properties to view all current Properties.
  2. Search or find the Property you wish to add rent details for.
  3. Click Vary/Renew Lease Details button at the top of the page.


  4. A pop-up will appear, click OK.
    Note: This makes a ‘child’ record, saving you from entering all the same information twice.


  5. New lease details dates:
    • Original Agreement Start Date: The Original Agreement Start Date will not change between the previous lease detail record and the new ‘child’ record that has just been created.
    • Current Agreement Start Date: The new date of the agreement should then be recorded as the "Current Agreement Start Date" for the new record.
  6. Add the ‘Effective Payment Start Date’.
    • The "Effective Payment Start Date" is when your payments officially begin, especially if it's different from the overall agreement start date.
  7. Rent Review Type (Market Rent or CPI)
  8. CPI %
  9. CPI Quarter/Year
  10. Series Ref. (index)
  11. The new ‘Landlord weekly charge amount’
  12. Click Save.
    Note: Fields get locked once the record has been approved by the finance team. So, ensure data such as dates are correct.

How to send a new lease detail for approval

  1. Click Leases under Properties to see all the current property leases and their status.


  2. Find the lease detail you want to send for approval.
  3. Navigate to the top search bar and click Send for approval.


  4. The status will update to Sent for Approval and Pending.

How to approve a new lease detail

This is the same process and guidance for both finance and business support approval.

  1. The finance or business support team will approve the record by clicking Approve on the email they are sent.

How to check the approval status of the new lease details

  1. Click Leases under Properties to see all the current property leases and their status.
  2. Find the lease detail you want to check the approval status of.
  3. Open the Approval tab. Green will identify what’s been approved.


    Note: Both finance and business support are required to approve this update. You can check whether the new lease details have been approved on the ‘APPROVAL’ tab.


    Note: The status of this agreement will be updated from ‘pending’ to ‘current’ once the start date has been reached.
