Approve transactions in Visa Spend Clarity App

If you are approving for your direct reports, you can approve in the app or on your desktop. If you are acting as delegate, you will need to use the desktop version. 

Select approvals from the drop down menu.

You will see the transactions for approval on the left.

The transactions should all have receipts attached. This icon shows it has attached correctly.

Click on the transaction to quickly review the coding, description and reason for the expense. You’ll see a thumbnail of the receipt to check it matches up. If you are satisfied with the receipt and reason for the expense click approve.

If you have multiple transactions to approve, you will get a “select all” button on the initial menu. You can choose whether to approve each one as you review or review them all then “approve all” together.

Reject the transaction

If the receipt is incorrect, illegible, or if you are unhappy with the coding orreason for the expense, or you have any other query, you can send the transaction back to the card holder to correct/send more information.

If a code is incorrect and needs to be changed you can amend the code yourself, however it is preferable to reject the transaction and ask the cardholder to amend the coding.

At the bottom of the transaction, there is a comments box. You can type the instructions and push send. This returns the transaction to sender with your comments to correct.

They will then update the transaction and send it back. You can then approve if you are happy.

If you deem an expense to not be business related it will need to be repaid by the cardholder.  Change the EntCC coding to Balance Sheet and the natural account coding to 7047.  This indicates to Finance that the cardholder is to be invoiced.
