Here’s some tips to help you make sure you don’t get uninvited guests.

General advice:

  • Don’t share the VC/webinar link broadly.
  • You cannot stop participants sharing meeting access details with others.
  • Keep an eye on the list of attendees.
  • Be aware that an external guest can join using a fake name.
  • Challenge any unexpected guests or anonymous users. 

Microsoft Teams meetings

Teams is the first choice for online meetings with both internal or external participants.

  • Each Teams meetings has a unique link, which means people won’t be joining the wrong meeting.
  • By default, external people must wait in a lobby.
  • Any authenticated users (staff) can record the meeting.  External participants and guests cannot record with the built in Teams recording function.
  • Wise Group staff can’t fake their name, unless they join from a non-Wise Group computer.

Skype for Business

Skype for Business can still be used for VC meetings or calls, internal or external but we strongly recommend you use Teams instead.

  • All your Skype for business meetings use the same link (unless you have changed settings). Which means people from one of your meetings can join any meeting.
  • By default, external people must wait in a lobby.
  • Wise Group staff can’t fake their name, unless they join from a non-Wise Group computer.
  • -Keep in mind Skype for Business will be replaced by Teams and won’t be an option much longer.

Zoom:

Zoom is a platform that can be used for external workshops or webinars, or external organisations that block connections to Teams meetings.

  • Do not use Zoom for internal meetings, use Microsoft Teams instead.
  • You must set a meeting password, use a waiting room, and generate a unique meeting ID for Zoom meetings you host.
