The Wise Group doesn't use physical fax machines and wherever possible discourages the use of faxes. However we still have a number of suppliers around the country that require fax communication.
This solution we have in place to send and receive faxes is called TFax and is provided by a company called TNZ. People who send you faxes will still send them from their fax machine as normal. But, instead of the fax arriving as a piece of paper it will arrive as a PDF attachment via email. And when you need to send a fax you will just send an email from Outlook.
Here's a pretty picture of how it works
How do I send a fax?
If you need to send a fax you just attach a document (whatever it is you were going to print and fax) to an email and send it to fax_number@fax.tnz.co.nz (so for example 078512345@fax.tnz.co.nz)
You will receive an email confirmation that your fax was successfully sent.
How do I receive a fax?
Received faxes will arrive in an email inbox for that fax number. You should automatically have the mailbox added to your Outlook profile based on the team you work in. If you don't have access to your site mailbox then please contact the helpdesk.
As these fax mailboxes are shared by a number of users, we recommend that once you have located your fax that you drag and drop the message to your own Inbox, and then action it appropriately.
To save the fax document (for uploading to Recordbase, etc.) right click on the PDF attachment and choose Save As. Save the file somewhere sensible such as your My Documents folder. You should then be able to locate this file and work with it as you would any other document.
Conclusion
That's about all there is to know about sending and receiving faxes - if you are unsure about any of the above or have any further questions then please contact the helpdesk on 07-8571226 and they will be happy to assist you.
